BOOKING CONDITION
Bookings with Rest and Retreats for our cabin and shepherd hut’s are accepted from guests aged 21 or above. We reserve the right to refuse bookings, without giving reasons, should they appear unsuitable for the property, and reserve the right to refuse admission on arrival if any aspect of the booking is misrepresented. In this event a full refund would be provided. When you submit your booking through the online reservation system you will receive an automated booking summary e-mail, to the e-mail address provided. Please check the email for any errors. A binding contract is formed when we issue your formal booking confirmation email after receipt of payment. Any issues must always be notified by email within 7 days following the receipt of the booking confirmation or before the start of your stay if that occurs within 7 days.
Please note, the properties can only be occupied for recreational purposes. The number of people occupying the property must not exceed the number booked.
OCCUPANCY
Maximum booking occupancy is two. Day visitors during your stay are solely at the discretion of Rest and Retreats. Day visitors are not permitted to stay overnight.
Check-in is from 3pm on the day of your arrival and check-out time is 10.00am. We reserve the right to make a surcharge for a departure later than ten minutes from the agreed check-out time, as this adversely affects the quality of provision we are able to offer the next incoming guest. Late checkout is strictly on a case by case basis and charges may apply.
If you can, let us know roughly when you’ll arrive so that we can ensure the cabin and shepherd hut is warm.
PETS
One well-behaved dog can be accommodated by prior arrangement ONLY IN OUR EDIE SHEPHERD HUT. Due to roaming livestock, they must be kept on a lead at all times. Please note that we will ask the breed of your dog upon booking. This is to identify them in the event that they go missing.
Please do not leave your pets on site at Rest and Retreats unattended, nor allow them on furnishings inside Edie Hut. Owners are liable for any damage your dog causes to the shepherd hut or the surrounding farmland and livestock. Please contact us if this occurs.
Rest and Retreats cannot be held responsible for any accident or injury to a pet during their stay.
There is an additional fee of £20 per dog for the extra cleaning, which will be taken on arrival.
BOOKING WITH US
To secure your booking we require a £100.00 non-refundable deposit. The remaining balance is then due 8 weeks prior to arrival. If the booking is less than 8 weeks away then payment is required in full. A confirmation email will be sent once we have received your payment. The person booking is responsible for disseminating the appropriate information sent to them to others in the party. For example, these Terms and Conditions, the directions and on arrival the information pack and any use instructions. This is to ensure they are fully aware of the nature of the site, any health and safety and the facilities. We have a minimum stay of 2 nights, unless availability appears between two booking or at Rest and Retreats sole discretion.
ACCOMMODATION
Included in the accommodation price: rental of Rest and Retreats accommodation booked, access to designated areas of the unit and outside area, water, allowance of wood provided in accommodation per stay. Please do not use the towels provided outside for the hot tub. Please do not use the inside cooking pots and pans on the open fire externally. Please note the outdoor BBQ/fire pit, hut log burner and hot tub all require a competent person to light them. Instructions are provided.
HOT TUB
The hot tub is a private hot tub which comes with Rest and Retreats accomadations. We have a poster displayed near the hot tub which lists the safety policy which must be adhered to when using the hot tub. Hot tub safety includes the following:
Use safety straps on the lid when the hot tub is not in use
If you feel unwell be sure to leave the tub
Anyone with medical conditions should check safety first
Use the gauntlets provided when adding wood to the wood burner
Check water temperature before getting in hot tub
Be careful when stepping in and out of the tub as steps can be slippery
ARRIVAL & DEPARTURE TIMES
Check in is from 3pm. Guests must advise us of their estimated arrival time and telephone when they are 10 minutes from the site. Your instructions will advise on clear directions, parking, locating your accommadation and how to access the keys.
Guests are required to vacate the accomadation by 10.00am on day of departure to allow enough time for our team to clean and check the site ahead of any new arrivals.
MAKING A PAYMENT
Payment is taken via Stripe, using Inn Style our online booking system, or bank transfer. Payment is taken in UK Pounds Sterling only and will process on your bank statement as ………
CHANGES TO BOOKINGS
We understand that sometimes plans change. We will do our best to accommodate alternative dates for your stay with us. It is important to please let us know as soon as possible. Changes must be made in writing by the person who made the booking. You cannot change a booking within 3 weeks of your arrival, in this case, the full amount is payable and no refunds are possible.
CANCELLATIONS
If a cancellation is made 8 weeks prior to arrival you can move your dates, subject to availability, later in the year or the following year. If you roll over to another date for which a higher sum is charged, you will need to pay the difference.
If cancellation is made within 3 weeks of the arrival date unfortunately there is no refund (as generally we cannot relet the accommodation in that time) and your stay cannot be rolled over to a later date.
Any cancellation or change must be confirmed in writing / email, by the person who made the booking.
We recommend that you have comprehensive travel insurance and that you take out a policy which covers you in the event of cancellation. Your coverage in the event of Coronavirus-related or other issues will depend on your insurer. Please contact them if you have questions.
SAFETY & RIGHTS RESERVED
Each accommodation has a first aid kit, carbon monoxide alarm, smoke alarm. Fire extinguisher and blankets are found under the kitchen sinks. We reserve the right to decline accommodation, or expel any guest or visitor for conduct, to which in our sole view is detrimental to the accommodation or the comfort of other visitors or our neighbours. For the safety of guests and to ensure the compliance with any rules and legislation relating to holiday properties, we reserve the right to enter the property at any time but will endeavour to do so when convenient to the guest/s and with prior notice.
RISKS
Please be aware that some of the guest equipment, including the BBQs, stove, hot tub and wood burner may be dangerous if misused. Rest and Retreats is not responsible for accidents (to the greatest extent permitted by law). We recommend you take out travel insurance against the risk of accidents and your stay being terminated early.
GUEST LIABILITY
The guest undertakes to keep the premises and all furniture, fixtures, fittings and effects in or on the property in the same state of repair and condition as found at the commencement of the holiday (reasonable wear and tear excepted). A full contents inventory is available at each property for guest’s information. Any costs incurred to repair or replace damages caused by guests will be reclaimed by the owner of Rest and Retreats against the person making the booking.
PARKING
Only one car may be parked in the designated area.
LOCATION & PRIVACY INFORMATION
Please note the fields surrounding the property are private land and should not be accessed. The public walkways and foot paths are the only areas open to guests staying at Rest and Retreats. We are not responsible for any injury, loss or issues as a result of accessing restricted or private property.
The Rest and Retreats site is considered to be a quiet area and we do ask guests to keep noise levels to a minimum after 10.30pm out of courtesy to our neighbours and the residents. If there are any complaints about your behaviour you will be given one warning. If you continue then you will be asked to leave the site and no refund will be given.
LOST PROPERTY / SECURE PROPERTY
For lost property returns, Rest and Retreats charges £10 for small items and £15 for large or valuable items towards staff costs for travelling to a Post Office, postage and packaging. So please make sure you check before you depart.
Rest and Retreats is remote and we have never had any issues with theft / loss of property. While you can lock the hut and your vehicle – we ask that you please lock the hut and do not leave any valuables in your car. We will not accept responsibility for any loss or damage to the guest property, including personal belongings, cash, jewellery and motor vehicles, however caused during your holiday. It is the guests responsibility to ensure the Hut and gate is locked when away exploring.
DAMAGES, BREAKAGES & CLEANING
For damages or breakages: While we do check the accommodation and area after each guest has departed, guests are advised to check for any damages or breakages found at the beginning of their stay. Please inform Rest and Retreats of any damages or breakages you find. Please let us know if anything gets broken during your stay so we can replace it for our next guest. We will only charge for replacements in exceptional circumstances, as we understand that sometimes accidents do happen. If damage is directly attributable to the guest, then we reserve the right to request payment towards costs of repair or replacement. Rest and Retreats reserves the right to deduct this payment from your invoice, following their stay.
For extra cleaning: Guests are reminded that they must leave the property in the same condition as when they arrived, remove all food items and personal belongings and follow Rest and Retreats instructions about where to place rubbish etc. and return any moved inventory items or they may be liable for extra cleaning costs. If the accommodation unit is not left in an acceptable condition and Rest and Retreats has to carry out extra cleaning above and beyond what they would normally expect this will be charged at £15 per individual staff hour. Rest and Retreats reserves the right to invoice guests following their stay.
FORCE MAJEURE
The Club’s responsibility and financial liability (excluding any liability for death or personal injury due to negligence) shall be limited to the return of monies received in the event of accommodation, booked in good faith, not being available owing to exceptional weather conditions, flood or fire, or such other cause beyond our control.
GDPR
For the purposes of the Data Protection Act 1998, Rest and Retreats are the sole data controller of all personal data provided via our website for customers and prospective customers. The booking process asks for your address details and phone numbers, these are required by the Local Authority so at any time we can prove you are not residents onsite. It also allows us to contact you should the internet fail and if we need to contact you whilst you are travelling to the site. Please note that your financial details are NEVER stored, nor seen, by us. For the purpose of operations, marketing and business administration we may keep your basic information on file, please notify us in writing via our contact us form if you wish this to be removed.
COMPLAINTS
Every effort has been made to ensure that you have an enjoyable and memorable experience. If, however, we have not met your expectations, it is essential that you contact us immediately so we can resolve it. If, after this, you feel that the issue has not been resolved to your satisfaction, and for the benefit of future holidaymakers we are happy to discuss compensation. However, if we have not received notice of any discrepancy or received a formal written complaint for compensation, and you choose to publicly complain via an online ratings platform, we regret we will be unable to offer any compensation.
When you book Rest and Retreats, you enter into a contract with the owners. Nothing in these conditions affects your normal statutory rights.
WEBSITE
We reserve the right to change this website, including prices and terms and conditions, without notice. We also reserve the right to refuse entry to the site, cancel bookings, or instruct people to leave the for failing to abide by these terms and conditions (for example due to inappropriate behaviour, dangerous weather, trespassing or other site conditions.)
Use of the Rest and Retreats website and our online booking system Inn Style constitutes acceptance of our Terms and Conditions and Privacy Policy.
